Outlook users have to press Update Folder to get latest emails from a shared mailbox folder
Issue
When opening a shared mailbox in Outlook, the folder status says : This folder was last updated at …
The user has to manually fetch new items (Send / Receive > Update Folder) to see the newest emails.
Solution 1 – Reset Permissions
Remove full permission to shared mailbox (From ECP – Not from PowerShell to avoid any mistake)
Re-add permission with AutoMapping set to True
Add-MailboxPermission -Identity [Shared Mailbox] -User [User account to re-add permissions] -AccessRights FullAccess -AutoMapping:$true
Also remove the SendAs permission via ECP and read via ECP
Re-open Outlook once you’ve done the above and send a test email to the shared mailbox in question.
Solution 2 – Recreate OST file or the whole Outlook Profile
Deleting the whole profile and cleaning up the user’s Outlook specific folders stored in AppData might work in some case.
Solution 3 – Work online with Shared Folders
This means Outlook won’t cache a copy of the shared mailbox.
- Click file
- Click account settings
- Click account settings again
- Click change
- Click more settings
- Click advanced
- Uncheck “Download Shared Folders”
- Click OK, then Next, and finally Finish.
